Job Opening: CCO - CIO - Business Services Coordinator
Location: Toronto, ON, CANADA

POSITION SUMMARY:

The Business Services Coordinator is responsible for administrative and coordination functions and processes to support Systemic Treatment Information Program (STIP) project as well as STIP and Cancer Information Program (CIP) operations.

JOB RESPONSIBILITIES:

    Supports CIP financial accounts with the PM for CIP Financials and Administration and Planning. Prepares and handles invoices and any pre-authorizations and/other related financial reports
    Supports all recruitment and other human resource management processes and activities such as preparing job postings and related paperwork, scheduling interviews, drafting PAFs and other documents, annual Performance Development Plan documentation
    Oversees the administration of all project and operational purchasing functions for projects and operations, including liaising with Finance and Procurement as required
    Provides support for administrative functions, including e-mail and letter communications, copying and fax services, space and facilities management, file management, courier services and other related functions
    Maintains personnel and other records and documents as required as required (e.g. vacation tracking/payroll timesheets information)
    Maintains and updates Sharepoint intranet website (e.g. updates material that is posted; )
    Carries out other administrative responsibilities such as scheduling and coordinating meetings, supporting travel arrangements, managing supplies inventories
    Supports meeting and conference planning as required. Takes minutes, prepares venues, meeting material, and provides the necessary follow-up
    Serves as a resource person and liaison to external and internal stakeholders for general information and contact for STIP Projects and Operations
    Perform other related duties as assigned

JOB QUALIFICATIONS:

    Bachelors of Arts or Bachelors of Science in a related area with a minimum of 3-5 years experience, or an equivalent combination of education and experience
    Ability to juggle multiple tasks, many with conflicting deadlines
    Previous experience in administrative or coordination role
    Familiarity with CCO business processes (procurement, invoicing, financial, HR)
    Excellent written and verbal communication skills
    High Level of facility with Microsoft Office suite of software including - Word, Excel, Powerpoint, Outlook;
    Previous experience using SharePoint software
