Job Opening: Administrative Assistant
Location: Calgary, AB, Canada

Our client is a rapidly growing and well-capitalized energy company headquartered in Calgary focused on oil sands development in the Athabasca region of Alberta, Canada. The company owns a 100% working interest in 800 square miles of oil sands leases which are estimated to contain in excess of six billion barrels of oil in place and approximately three billion barrels of recoverable resource.
With growth comes opportunity and there is a current need for an Administrative Assistant to fill a full time staff position based in Calgary, Alberta.

Job Responsibilities:


Provide administrative services and organizational support to a group of professionals including the Reservoir and Production Engineering, Geological and Geophysical, the Growth and Emissions Management and the Surface Land teams.
Provide and demonstrate personal Safety leadership in accordance with company's Environment Health and Safety Program. Provide leadership in establishing a strong Safety culture within the organization, and with vendors, service providers, and the contractors they engage with.
Provide administrative support by typing/formatting/proofreading of routine correspondence.
Time and vacation tracking super user for the floor. Provide group attendance tracking as required.
Organization and coordination of courses, luncheons, and offsite meetings.
Assists the teams with photocopying, filing, mail distribution and delivery of documents.
Assist new hire employees with office set up.
Works with the business to assist leaders in gathering background information for new consultant agreements and renewals.
Coordinating and booking travel arrangements.
Prepare expense reports as required.
Single point coordination for the teams when services are required (IT, Building services (310 Maxx).
Maintains the cleanliness of floor Kitchen, loading/unloading and starting the dishwasher and ensuring the fridges, countertops, and microwaves are clean.
Liaise with key team members on day-to-day business needs.
General facilities / move coordination with other Administrative Assistants.
Support for corporate meetings and presentations (compiling BOD meeting materials, annual meetings).
Acts as back up for any administrator during high volume or to cover absences.


Job Requirements:

Grade 12 Diploma and a minimum of 1-3 years of related experience in multi-discipline and cross-functional teams.
Proficiency with Microsoft Office, particularly with Word, Excel and PowerPoint.
Self-starter who takes the initiative with a high degree of energy.
Ability to work in an ambiguous environment; demonstrated flexibility and adaptability.
Excellent organizational and planning skills to set and exceed established goals, schedules, and deadlines.
Skilled at building and maintaining productive, professional working relationships.
Strong interpersonal and communication skills.
