Job Opening: Senior Clerk, Finance - Level 5
Location: Calgary, AB, CANADA

Position Summary:

To support the financial transaction process and to provide financial processing services for the Region.

Objectives:

Accounts Payable Analyze, prepare and input all invoices, travel claims, charity and regional expenditures and all other payment requests ( i.e. visa payments, wire transfers, money orders, etc), into the GEAC system, ensuring that the appropriate supporting documentation is present, the coding is accurate, payment of expenses is properly authorized and sufficient budget funds exist to cover expenditures. Verifying accuracy (coding invoices, inputting data, federal and provincial taxes) as well as verifying completeness of supporting documentation (i.e. proper authorization for payment, verify data in agreement with corporate policies, provide advance notification to National Office, do follow- up when documentation is incomplete, and note exceptions) Maintain and control the cheque printing processes on the Corporate Financial System (GEAC). Duties include ensuring that coding is correct, supporting documentation is available, authorization is appropriate, and the accurate printing of cheques; responsibility for the processing of cheque cancellations, NFS cheques and stale dated cheques, and requests for stop payments. Liaise with clients and/or vendors to resolve any discrepancies.
Accounts Receivable Analyze, prepare, input and reconcile daily receipts, cash, cheques, and credit cards and prepare a daily bank deposit. Ensure accurate accounting distribution of receipts, report daily credit card transactions to National Office and liaise with National Office to investigate discrepancies. Do follow-up when documentation is not included and investigate miscellaneous cheques (not including fees and premiums). Liaise with internal and external clients to resolve any discrepancies.
Reconciliation and Reports Prepare and record annual accruals as per National Office policy and procedures. Maintain appropriate computer based commitment and sub ledger accounts, and reconcile sub ledgers to the appropriate ledger accounts to ensure accurate processing and recording of all transactions. Complete input within the processing deadlines to ensure accurate closure of the general ledger. Act as the primary operator of the corporate financial system (GEAC). When appropriate, review monthly reports for completeness, note anomalies and follow up for clarification or additional information if necessary; and, prepare the appropriate schedules, journal entries to the general ledger; and reconciles the accounts to the appropriate general ledger accounts. Assist with reviews and audits to verify the integrity and appropriateness of the monthly reports. Monitor Charity and Regional Function expenditures.
Casual Payroll Analyze verifies, prepare and input payroll for casual employees ensuring g that appropriate documentation and authorization is accurate. Duties include ensuring payroll legislation is followed and that all payroll remittances are correctly filled and submitted within the stipulated time frame. Reconcile and remit government tax payments in accordance with Revenue Canada and Taxation policies and guidelines. Prepare Records of Employment on Separation and T4 slips.
Travel Claims Where applicable, process travel claims which include verifying for accuracy and completeness of documentation, proper authorization, agreement with corporate travel policy, and appropriate accounting distribution. May, if required, provide guidance to staff with interpretation of travel policy.
Journal Vouchers Analyze, prepare and input journal vouchers into the GEAC system, ensuring that the appropriate supporting documentation is present, the coding is accurate, proper authorization and sufficient budget funds exist to cover expenditures. Duties also include verifying accuracy, and completeness of documentation, proper authorization, coding, inputting the data including federal and provincial taxes, verifying data accuracy and data in agreement with corporate policies, and making any necessary corrections.
Other Duties, where applicable: Maintain the primary petty cash fund and has authority to issue cash receipts. Assist with the provision of security for the office along with other team members and ensure access to employees and clients during business hours. Monitor the quality of data input associated with Time Reporting process and liaise with employees to resolve and correct any time discrepancies. Maintain physical cheque security at all times May, if required; provide guidance to staff with interpretation of travel and Corporate Accounting policy. Back up to Team Lead, if requested Handle phone and email inquiries (update payee/client for the status of payment). Provide information for vendor and EFT setup Verify classification codes for the T1204 report.

Job Qualifications:

College diploma or equivalent with courses in Accounting, Finance or Business Administration an asset or an equivalent combination of related education and 1 to 2 years work experience.

Job Knowledge/Skills:

High level of interpersonal skills (tact, judgment, diplomacy) and the ability to communicate effectively (both oral and written). Good judgment, professionalism, credibility and diplomacy. Ability to process financial data accurately at high speed. Excellent organization and time management skills enabling the balance of workloads and the prioritization of requests to meet deadlines with strong attention to detail. Strong computer abilities and able to work in an automated environment: Intermediate knowledge of Microsoft Office (word, power point, excel), Lotus Notes an asset. General knowledge of CMHC's administrative policies and practices would be an asset.
Bilingualism (French/English) is considered an asset.
